Overdue Reminders

Setting up overdue reminders in WHMCS is crucial for ensuring timely payments from your clients. Here's how you can set up overdue reminders:

  1. Log into WHMCS: Access your WHMCS admin panel using your username and password.

  2. Navigate to Configuration: Click on the "Configuration" tab in the top navigation menu.

  3. Automation Settings: Under the "System Settings" section, click on "Automation Settings."

  4. Cron Configuration: Ensure that your WHMCS installation is set up to run the cron job. This is essential for automated tasks like sending overdue notices.

  5. Overdue Notices Settings: In the "Automation Settings" section, you'll find options related to Overdue Notices. Configure these settings:

    • Send Overdue Notices: Enable this option to automatically send overdue notices.
    • Days After Due Date to Send First Overdue Notice: Set the number of days after the due date when you want the first overdue notice to be sent.

  6. Email Templates: In the WHMCS admin area, go to "Configuration" > "System Settings" > "Emails." Look for the "Invoice Overdue Notice" template.

  7. Edit Template: Click on the "Edit" icon (pencil icon) next to the "Invoice Overdue Notice" template to customize it.

  8. Customize the Overdue Notice Email: Customize the subject and message of the overdue notice email. Include placeholders for dynamic information like the client's name, invoice amount, due date, etc.

    Example:

    Subject: URGENT: Invoice #[InvoiceID] is Overdue Message: Hello [Client Name], We hope this message finds you well. We're writing to inform you that invoice #[InvoiceID] for [Invoice Amount] is now overdue. It was due on [Due Date]. To avoid any service interruptions, please make payment as soon as possible. You can view and pay your invoice by following this link: [Invoice Link] If you have any questions or need further assistance, please don't hesitate to contact our support team. Thank you for your prompt attention to this matter. Best regards, [Your Company Name]
  9. Save Changes: After customizing the email template, click the "Save Changes" button to save your modifications.

  10. Test Email: Before you start sending overdue reminders to clients, it's a good idea to send a test email to yourself to ensure that the email template looks and functions as expected.

  11. Enable Overdue Reminders: Make sure that the settings for sending overdue reminders are enabled in your WHMCS automation settings.
